Leading Practices for Commenting to County Governments

Here is a guide to leading practices we recommend when crafting your messages to county governments. These apply to both written communications (letters & emails) and public comments.

 

1. Be Clear and Concise: 

  • Stick to one main topic. 
  • State your purpose up front. 
  • Keep letters under one page (See example below)
  • Keep spoke comments well under the usual 3 minute limit (less is more)


2. Be Respectful and Courteous: 

  • Address members properly. 
  • Avoid insults or accusatory tone.


3. Identify Yourself and Your Stake: 

  • Share who you are, where you live, and why this issue matters.


4. Be Informed – Use Facts: 

  • Mention specifics (health risks, pollution, water use). 
  • Avoid rumors or exaggeration.


5. Make It Personal (but professional): 

  • Include a brief note on how this project directly impacts your family or property.


6. State a Clear Request: 

  • Ask for specific actions (delay, reject, add conditions).


7. Proofread and Polish: 

  • Eliminate errors. 
  • Keep tone measured and professional.


8. What to Avoid

  • Aggressive or disrespectful language.
  • Bringing up unrelated issues.
  • Exaggerations or unverified claims.
  • Threats or emotional outbursts.
  • Copying a form letter without adding at least one personal touch.
  • Overly technical jargon without plain-English explanation.
